The Logistics Coordinator provides administrative and operational support to the Logistics Manager across retail (B2B) and international logistics operations, ensuring smooth execution of inbound freight, 3PL warehouse activities, and store replenishment. The role is key to enabling timely, accurate, and cost-efficient logistics across the network. Managing documentation, data, and relationships with key stakeholders, including 3PL providers, is central to this role. The role requires strong organisational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

The Role
Administrative Support
Provide essential admin support to Logistics Manager to ensure projects, reporting, and day-to-day logistics activities run smoothly
- Manage filing, scheduling, reporting and general logistics administration.
- Support invoice processing, budget & forecast tracking, and vendor record management.
- Track agreed SLAs with key stakeholders.
- Support compliance with import/export regulations, customs requirements, and internal logistics policies.
Shipment Tracking, Coordination & Collaboration
Support the freight process and fulfillment of retail orders to ensure on time delivery across the network.
- Liaise with 3PL partners, freight forwarders, and internal teams to monitor shipment progress and proactively flag delays or issues.
- Escalate unresolved delivery or customs issues to the Logistics Manager and assist in coordinating resolution.
- Coordinate bulk deliveries for store opening/closure, campaigns and promotional activity.
- Partner with internal stakeholders (planning, buying, retail Ops) to align stock flow and delivery priorities.
Data Management & Reporting
Provide accurate reporting and data management to support decision-making and identify cost saving opportunities.
- Keep accurate records of SLAs, service levels, and rate agreements.
- Maintain accurate records of inventory movements, stock levels, and delivery status.
- Compile weekly, monthly, and ad-hoc logistics reports for the Logistics Manager, highlighting key operational metrics, delays, or issues.
Continuous Improvement Support
Assist the Logistics team in driving efficiency and improvements across logistics processes.
- Assist in logistics-related projects, such as warehouse optimisation, process mapping, or reporting improvements.
- Provide feedback and insights to streamline admin, fulfillment, and cost-saving processes.
- Contribute to initiatives aimed at improving delivery accuracy, reducing delays, or lowering operational costs.
You
Required:
- Strong organisational and time management skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Accuracy and attention to detail in managing data and documentation.
- Strong written and verbal communication skills.
- Ability to multitask and manage competing priorities.
- Basic understanding of logistics processes (shipping, freight, inventory, order fulfillment).
Preferred:
- Previous experience in logistics, supply chain, or administration (1â2 years).
- Experience working with a 3PL warehouse or fulfillment partner.
- Familiarity with ERP or WMS systems.
- Exposure to eCommerce fulfillment or retail logistics.
- Knowledge of domestic & international shipping process.
- Experience supporting cost saving or process improvement initiatives.
- Ability to build strong stakeholder relationships across internal teams and external partners.
